The Ask & What They Want

The client envisions an interactive map for the USA, Canada, and Mexico, where users can hover over a specific state to access the PDF version of the annual meeting agenda.

The Need & Value

  • The target audience includes members of state chapters and the ACC Board of Governors.
  • There is a need to collate and centralize access to all state agendas for easier cross-referencing.
  • This feature will enable cross-observation of state chapter activities and annual meeting topics, potentially inspiring cross-pollination of ideas and event planning among different chapters.

The Hypothesis & Proposal

While the interactive map may not be the ideal solution for usability, centralizing and collating all chapter agendas into a single location will meet the client's needs. Users can more easily find and retrieve the specific information they need by providing sorting and filtering options. Additionally, this approach will be more mobile-friendly, ensuring that users can access the information from various devices. This solution will enhance accessibility and enable cross-referencing and idea-sharing among state chapters.

Constraints & Limitations

  • The agendas come from multiple sources, making it unlikely that structured data (e.g., HTML) will be applied consistently across all states.
  • Agendas may remain as PDFs, which could limit responsiveness and mobile-friendliness.
  • There are resource limitations for maintaining 50+ inputs throughout the year, so the solution must require minimal ongoing upkeep.
    Without structured data, users may find it difficult to compare agendas between chapters, limiting deeper insights.

Assumptions & Risks to Success

  • The project will be pitched as a pilot, with the first build being more of a prototype ("smoke and mirrors") and subject to heavy evaluation.
  • Success metrics must be defined upfront to determine if the "Hub of Agendas" benefits users. (Page Usage, Time on Page, Downloads of PDF, MouseFlow)
  • Data structuring will include fields like state, date, PDF link, agenda topic tags, region tag, and short description, informing users how to sort the data. There is a potential opportunity to explore AI-based auto-tagging from the varied documents received.
  • One risk is that the current approach only accommodates new data, and historical data is outside the scope of this project.
  • There is a risk that the pilot may not meet user expectations or provide sufficient value, leading to the project's retirement after one year.
  • If the pilot is successful, a follow-up IT task will be required to systemize the solution based on lessons learned.
  • It is assumed that each state will consistently provide agenda details, descriptions, and relevant tags, but failure to do so could undermine the project's value.
